This Privacy Policy explains how Succeedium ("Succeedium", "we", "us", or "our") collects, uses, discloses, and protects information in connection with TeamOne, our Google Sheets™ add-on for IBM Planning Analytics / TM1.

By using TeamOne, you acknowledge that information will be handled as described in this Privacy Policy.

Please also review our Terms of Service before using TeamOne.

1. Scope of This Privacy Policy

This Privacy Policy applies to TeamOne, including the TeamOne Google Sheets add-on, related websites, support services, documentation, licensing systems, and any related services we provide.

This Privacy Policy does not apply to third-party products or services that are not owned or controlled by Succeedium, including Google Workspace, Google Sheets, IBM Planning Analytics, IBM Cloud, or other third-party platforms used by your organization.

2. Information We Collect

We collect and process information only as reasonably necessary to provide, secure, support, and improve TeamOne.

2.1 Account, License, and Contact Information

We may collect information such as:

  • your name;
  • your email address;
  • your organization name;
  • your role or job title, if provided;
  • billing, subscription, licensing, and order-related information, where applicable;
  • communications you send to us by email, through our website, or through a help desk or support system.

We use this information to communicate with you, verify license status, provide support, manage subscriptions, and send important service or policy updates.

2.2 Google Account and Google Workspace Information

When you install or use TeamOne, Google may ask you to grant permissions that allow TeamOne to operate inside Google Sheets.

Depending on the permissions granted, TeamOne may access or process:

  • your primary Google Account email address;
  • information about the Google Sheets document where TeamOne is installed;
  • spreadsheet content in documents where TeamOne is installed, as needed to provide TeamOne functionality;
  • information required to display TeamOne screens, prompts, menus, and sidebars inside Google Sheets;
  • information required to connect to external services, including IBM Planning Analytics / TM1.

TeamOne is designed to access only the Google Sheets documents where the add-on has been installed or authorized. TeamOne does not request access to all of your Google Drive files.

2.3 IBM Planning Analytics / TM1 Information

TeamOne allows authorized users to connect Google Sheets to IBM Planning Analytics / TM1 environments.

Depending on how TeamOne is configured and used, TeamOne may process information such as:

  • IBM Planning Analytics server URLs and connection settings;
  • authentication information required to connect to IBM Planning Analytics, such as session information, tokens, or credentials, depending on the authentication method used;
  • IBM Planning Analytics metadata, including cubes, dimensions, hierarchies, elements, subsets, views, attributes, rules, processes, chores, and related objects;
  • IBM Planning Analytics data retrieved into Google Sheets at the direction of the user;
  • updates or writeback values submitted from Google Sheets to IBM Planning Analytics at the direction of the user.

TeamOne processes this information to provide the functionality requested by the user or customer. TeamOne does not sell IBM Planning Analytics data.

Unless otherwise agreed or required for a specific feature, TeamOne is not designed to permanently store customer IBM Planning Analytics cube data. However, such data may be temporarily processed, transmitted, cached, logged, or included in support materials where necessary to provide the service, troubleshoot issues, maintain security, or comply with applicable legal or contractual obligations.

2.4 Technical, Diagnostic, and Security Information

We may collect technical and diagnostic information such as:

  • IP address;
  • browser type and version;
  • device and operating system information;
  • timestamps;
  • request metadata;
  • error messages;
  • application logs;
  • authentication and authorization events;
  • performance data;
  • security and audit logs.

We use this information to operate TeamOne, troubleshoot issues, monitor performance, prevent abuse, investigate security events, and maintain the reliability and security of the service.

2.5 Support Information

If you contact us for support, we may collect information you provide in support requests, including screenshots, spreadsheet examples, formulas, configuration details, logs, error messages, or other information needed to investigate and resolve the issue.

Please do not send sensitive, confidential, or regulated information to Succeedium unless it is necessary for the support request and your organization has authorized you to do so.

3. AI-Assisted Features

TeamOne may include optional AI-assisted features.

3.1 TeamOne AI Help

TeamOne AI Help is designed to assist users with TeamOne documentation, formulas, report-building, troubleshooting, examples, and general product usage.

TeamOne AI Help is not designed to access, analyze, or use customer IBM Planning Analytics / TM1 model metadata, cube data, or business data as context.

However, if a user voluntarily includes customer data, screenshots, formulas, report details, model information, metadata, or other confidential information in a prompt, support request, or AI interaction, that information may be processed to generate the requested response.

3.2 SPACE AI Assistant and TeamOne + SPACE Integration

Customers who separately purchase, configure, and enable SPACE may have access to model-aware AI assistance through SPACE or through an integration between TeamOne and SPACE.

These features are separate from TeamOne AI Help. Unlike TeamOne AI Help, model-aware AI features may process customer-authorized IBM Planning Analytics / TM1 context, including model metadata, cube structures, dimensions, hierarchies, elements, subsets, views, attributes, rules, processes, chores, logs, report definitions, formulas, and other information made available by the customer or its authorized users.

Model-aware AI features are available only where SPACE has been purchased, configured, and enabled by the customer. Customers control whether these features are enabled and which authorized users or roles may access them, where such controls are supported.

Where supported, customers may configure SPACE AI Assistant to use a customer-controlled or private AI environment, such as a private cloud AI service, enterprise AI deployment, private GPT-style environment, or customer-managed AI provider. In such cases, prompts, model context, metadata, and generated outputs may be processed within the customer-selected AI environment, subject to the customer’s configuration, agreements, security controls, and provider terms.

This configuration may help customers align AI processing with their internal security, privacy, data residency, vendor-management, and compliance requirements.

3.3 AI Data Use

We use information submitted to AI-assisted features only to provide, secure, support, troubleshoot, monitor, maintain, and improve the applicable user-facing feature.

We do not sell customer data.

We do not use customer content submitted through TeamOne or SPACE AI-assisted features to train public or general-purpose AI models unless expressly agreed in writing.

AI-assisted features may use Succeedium-managed AI providers, third-party AI service providers, or customer-configured AI providers, including private or customer-controlled AI environments where supported. The data exposure and processing model may depend on the AI configuration selected by the customer.

Where a customer configures SPACE AI Assistant to use a customer-managed AI provider or private AI environment, prompts, model context, metadata, and generated outputs may be processed within the customer-selected AI environment, subject to the customer’s configuration, agreements, security controls, and provider terms.

Where Succeedium-managed or third-party AI providers are used, such providers process information only as needed to provide the applicable AI-assisted feature, or as otherwise disclosed or agreed.

Prompts, context, and AI-generated outputs may be processed temporarily and, where necessary, retained for security, troubleshooting, support, audit, abuse prevention, service reliability, or service improvement purposes, subject to applicable customer agreements and retention settings.

Where supported, customers may configure whether AI interaction history is stored, how long it is retained, and which users or roles may access AI-assisted features. Customers are responsible for reviewing and approving the AI configuration appropriate for their organization.

4. How We Use Information

We use the information we collect and process to:

  • provide, operate, and maintain TeamOne;
  • authenticate users and manage access;
  • verify license and subscription status;
  • connect Google Sheets to IBM Planning Analytics / TM1;
  • retrieve, display, update, and write back IBM Planning Analytics data at the direction of authorized users;
  • provide support and respond to inquiries;
  • troubleshoot errors and improve performance;
  • maintain security and prevent misuse;
  • monitor service availability and reliability;
  • communicate important service, security, legal, or policy updates;
  • comply with legal, regulatory, contractual, security, and audit obligations;
  • improve TeamOne and related user-facing features.

We do not sell personal information or customer data.

5. Google API Data Use and Limited Use

TeamOne’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

Information received from Google APIs is used only to provide and improve TeamOne’s user-facing features, maintain security, troubleshoot issues, prevent abuse, and comply with applicable legal or contractual obligations.

We do not use information received from Google APIs to train public, general-purpose, or non-personalized AI or machine learning models.

We do not transfer information received from Google APIs except as necessary to provide or improve TeamOne’s user-facing features, comply with applicable law, address security or abuse, or as otherwise permitted by Google’s applicable policies.

6. How We Share Information

We do not sell personal information or customer data.

We may disclose information in the following limited circumstances:

6.1 Service Providers

We may share information with trusted service providers and subprocessors who help us operate, secure, support, or improve TeamOne. These may include hosting providers, cloud infrastructure providers, help desk systems, monitoring tools, security providers, professional advisors, and AI service providers where AI-assisted features are used.

Such service providers are authorized to process information only as needed to provide services to us or as otherwise permitted by applicable agreements and law.

6.2 Customer-Directed Processing

TeamOne processes information at the direction of the customer or authorized users, including when users retrieve data from IBM Planning Analytics, update reports in Google Sheets, write values back to IBM Planning Analytics, or use optional AI-assisted features.

We may disclose information where we reasonably believe it is necessary to:

  • comply with applicable law, regulation, legal process, or governmental request;
  • enforce our agreements or policies;
  • protect the rights, property, or safety of Succeedium, our customers, users, or others;
  • detect, prevent, or investigate fraud, security incidents, abuse, or technical issues;
  • comply with audit, security, or compliance obligations.

6.4 Business Transactions

If Succeedium is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality and legal protections.

7. Data Retention

We retain personal information and customer-related information only for as long as reasonably necessary to provide TeamOne, support customers, comply with legal and contractual obligations, resolve disputes, enforce agreements, maintain security, and meet audit or compliance requirements.

Retention periods may vary depending on the type of information, the purpose for which it is used, customer configuration, applicable agreements, and legal requirements.

Customers may request deletion of certain information by contacting us, subject to applicable legal, contractual, security, audit, and backup retention requirements.

8. Security

We implement administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction.

These safeguards may include access controls, encryption, secure development practices, monitoring, logging, vulnerability management, penetration testing, audit processes, and other security measures appropriate to the nature of the information and the service.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect information using commercially reasonable safeguards.

9. Customer Responsibilities

Customers and users are responsible for:

  • ensuring they have authority to use TeamOne with their Google Workspace and IBM Planning Analytics environments;
  • managing Google Sheets sharing permissions;
  • managing IBM Planning Analytics permissions, roles, and access controls;
  • determining which users are authorized to install, access, or use TeamOne;
  • ensuring users do not submit sensitive, confidential, regulated, or personal information to TeamOne, support channels, or AI-assisted features unless authorized by the customer;
  • reviewing AI-generated outputs before relying on them;
  • complying with applicable laws, internal policies, and contractual obligations.

10. International Processing

Succeedium is based in Canada. Information may be processed in Canada, the United States, Australia, the European Economic Area, the United Kingdom, or other jurisdictions where Succeedium, its service providers, subprocessors, or customer-configured providers operate.

The privacy and data protection laws of these jurisdictions may differ from those in your location. Where required, we use appropriate contractual, organizational, and technical measures designed to protect information transferred across jurisdictions.

11. Cookies and Similar Technologies

The TeamOne Google Sheets add-on itself does not use cookies in the same way as a traditional website.

However, TeamOne operates within Google Workspace and Google Sheets, and Google may use cookies or similar technologies as part of its services. Your use of Google products is subject to Google’s own privacy and cookie practices.

Succeedium websites, documentation pages, or support systems may use cookies or similar technologies for basic website functionality, analytics, security, or support purposes.

12. Your Choices and Rights

Depending on your location and applicable law, you may have rights to access, correct, delete, or restrict the use of your personal information.

If you are using TeamOne through your organization, requests relating to your organization’s data may need to be directed to your organization as the customer and administrator of the relevant Google Workspace, IBM Planning Analytics, or TeamOne environment.

13. Children’s Privacy

TeamOne is intended for business and professional use. It is not directed to children, and we do not knowingly collect personal information from children.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to TeamOne, legal requirements, security practices, or business operations.

When we make changes, we will update the “Last updated” date at the top of this page.

If we make material changes to how we collect, use, disclose, or retain personal information, we will provide notice by reasonable means, which may include posting a notice on our website, providing notice through the Service, sending notice to account administrators or billing contacts, or including the change in release notes or other customer communications.

Where required by applicable law or customer agreement, we will seek additional consent before using personal information for a new purpose that is materially different from the purposes previously disclosed.

Your continued use of TeamOne after the effective date of an updated Privacy Policy constitutes acceptance of the updated Privacy Policy, to the extent permitted by applicable law.
