This Privacy Policy explains how Succeedium ("Succeedium", "we", "us", or "our") collects, uses, discloses, and protects information in connection with Succeedium Planning Analytics Cloud Extension (SPACE), our extension and related application for IBM Planning Analytics / TM1.

By using SPACE, you acknowledge that information will be handled as described in this Privacy Policy.

Please also review our Terms of Service before using SPACE.

1. Scope of This Privacy Policy

This Privacy Policy applies to SPACE, including the SPACE browser extension, web application, server components, documentation, support services, licensing systems, and any related services we provide.

This Privacy Policy does not apply to third-party products or services that are not owned or controlled by Succeedium, including IBM Planning Analytics, IBM Planning Analytics Workspace, IBM Cloud, customer-hosted environments, cloud infrastructure providers, browser providers, or other third-party platforms used by your organization.

2. Information We Collect

We collect and process information only as reasonably necessary to provide, secure, support, and improve SPACE.

2.1 Account, License, and Contact Information

We may collect information such as:

  • your name;
  • your email address;
  • your organization name;
  • your role or job title, if provided;
  • billing, subscription, licensing, and order-related information, where applicable;
  • communications you send to us by email, through our website, or through a help desk or support system.

We use this information to communicate with you, verify license status, provide support, manage subscriptions, and send important service or policy updates.

2.2 User, Authentication, and Access Information

Depending on how SPACE is configured and used, SPACE may process information such as:

  • SPACE user accounts, roles, permissions, and access settings;
  • authentication and authorization events;
  • IBM Planning Analytics / TM1 user identity information;
  • IBM Planning Analytics session information, tokens, cookies, or other authentication-related information, depending on the authentication method used;
  • connection access settings and user-to-connection permissions;
  • administrator configuration and security settings.

SPACE processes this information to authenticate users, authorize access, connect to IBM Planning Analytics / TM1 environments, enforce customer-configured permissions, and maintain security.

2.3 IBM Planning Analytics / TM1 Connection Information

SPACE allows authorized users to connect to IBM Planning Analytics / TM1 environments.

Depending on how SPACE is configured and used, SPACE may process information such as:

  • IBM Planning Analytics server URLs and connection settings;
  • IBM Planning Analytics authentication settings;
  • connection names, environment labels, and configuration details;
  • customer-provided certificates, trusted certificate authorities, or related connection security settings, where configured;
  • metadata required to verify, monitor, or maintain IBM Planning Analytics connections.

SPACE processes this information to provide the functionality requested by the customer or authorized users.

2.4 IBM Planning Analytics / TM1 Model Information

Depending on which SPACE features are enabled and used, SPACE may process IBM Planning Analytics / TM1 model information such as:

  • cubes;
  • dimensions;
  • hierarchies;
  • elements;
  • subsets;
  • views;
  • attributes;
  • rules;
  • TurboIntegrator processes;
  • chores;
  • security groups and permissions;
  • dependencies and relationships between model objects;
  • model comparison, release, deployment, and lifecycle information;
  • model documentation generated or enriched through SPACE.

SPACE processes this information to provide features such as model documentation, lifecycle management, comparison, deployment, search, analysis, and administration.

2.5 IBM Planning Analytics / TM1 Logs and Activity Information

SPACE may process IBM Planning Analytics / TM1 logs and activity information where customers enable or use log-related features.

This may include:

  • transaction logs;
  • audit logs;
  • message logs;
  • server logs;
  • process and chore execution information;
  • user activity information;
  • timestamps;
  • object names;
  • cube names;
  • element names;
  • value changes;
  • error messages;
  • other log fields made available by IBM Planning Analytics / TM1.

SPACE processes this information to provide log search, monitoring, troubleshooting, audit, diagnostics, reporting, documentation, and related functionality.

Depending on customer configuration, logs and activity information may be stored in SPACE databases or customer-controlled infrastructure to support search, retention, performance, and analysis.

2.6 Python, Jupyter, Scripts, and Automation Information

Where customers enable or use Python, Jupyter, scripting, scheduling, or automation features, SPACE may process information such as:

  • Python files, scripts, notebooks, and related artifacts;
  • script execution requests and results;
  • scheduled task configuration;
  • execution logs;
  • error messages;
  • runtime metadata;
  • files uploaded or generated through SPACE;
  • credentials or connection references made available to scripts, depending on customer configuration and permissions.

Customers are responsible for ensuring that scripts, notebooks, uploaded files, scheduled tasks, and automation workflows comply with their internal policies, security requirements, and applicable laws.

2.7 Support Information

If you contact us for support, we may collect information you provide in support requests, including screenshots, configuration details, logs, error messages, sample files, model excerpts, scripts, connection details, or other information needed to investigate and resolve the issue.

Please do not send sensitive, confidential, regulated, or unnecessary customer information to Succeedium unless it is necessary for the support request and your organization has authorized you to do so.

2.8 Technical, Diagnostic, and Security Information

We may collect technical and diagnostic information such as:

  • IP address;
  • browser type and version;
  • device and operating system information;
  • timestamps;
  • request metadata;
  • error messages;
  • application logs;
  • authentication and authorization events;
  • performance data;
  • system health information;
  • security and audit logs.

We use this information to operate SPACE, troubleshoot issues, monitor performance, prevent abuse, investigate security events, and maintain the reliability and security of the service.

3. AI-Assisted Features

SPACE may include optional AI-assisted features.

3.1 SPACE AI Assistant

SPACE AI Assistant is designed to provide model-aware AI assistance for IBM Planning Analytics / TM1 environments where the customer has purchased, configured, and enabled the feature.

Depending on customer configuration and user permissions, SPACE AI Assistant may process customer-authorized IBM Planning Analytics / TM1 context, including model metadata, cube structures, dimensions, hierarchies, elements, subsets, views, attributes, rules, processes, chores, logs, report definitions, formulas, scripts, documentation, and other information made available by the customer or its authorized users.

SPACE AI Assistant may use this context to help users understand models, generate documentation, analyze dependencies, troubleshoot errors, explain rules or processes, review logs, suggest improvements, assist with reporting, or support other model-aware use cases.

Customers control whether SPACE AI Assistant is enabled and which authorized users or roles may access it, where such controls are supported.

3.2 TeamOne + SPACE Integration

Customers who separately use TeamOne and SPACE may have access to AI-assisted functionality through an integration between TeamOne and SPACE.

Where such integration is enabled, TeamOne may surface SPACE AI Assistant capabilities or use SPACE-authorized context to provide model-aware assistance. Such model-aware functionality is separate from general TeamOne AI Help and is available only where SPACE has been purchased, configured, and enabled by the customer.

3.3 Customer-Controlled and Private AI Environments

Where supported, customers may configure SPACE AI Assistant to use a customer-controlled or private AI environment, such as a private cloud AI service, enterprise AI deployment, private GPT-style environment, or customer-managed AI provider.

In such cases, prompts, model context, metadata, logs, scripts, and generated outputs may be processed within the customer-selected AI environment, subject to the customer’s configuration, agreements, security controls, and provider terms.

This configuration may help customers align AI processing with their internal security, privacy, data residency, vendor-management, and compliance requirements.

3.4 AI Data Use

We use information submitted to AI-assisted features only to provide, secure, support, troubleshoot, monitor, maintain, and improve the applicable user-facing feature.

We do not sell customer data.

We do not use customer content submitted through SPACE or TeamOne AI-assisted features to train public or general-purpose AI models unless expressly agreed in writing.

AI-assisted features may use Succeedium-managed AI providers, third-party AI service providers, or customer-configured AI providers, including private or customer-controlled AI environments where supported. The data exposure and processing model may depend on the AI configuration selected by the customer.

Where a customer configures SPACE AI Assistant to use a customer-managed AI provider or private AI environment, prompts, model context, metadata, logs, scripts, and generated outputs may be processed within the customer-selected AI environment, subject to the customer’s configuration, agreements, security controls, and provider terms.

Where Succeedium-managed or third-party AI providers are used, such providers process information only as needed to provide the applicable AI-assisted feature, or as otherwise disclosed or agreed.

Prompts, context, and AI-generated outputs may be processed temporarily and, where necessary, retained for security, troubleshooting, support, audit, abuse prevention, service reliability, or service improvement purposes, subject to applicable customer agreements and retention settings.

Where supported, customers may configure whether AI interaction history is stored, how long it is retained, and which users or roles may access AI-assisted features. Customers are responsible for reviewing and approving the AI configuration appropriate for their organization.

4. How We Use Information

We use the information we collect and process to:

  • provide, operate, and maintain SPACE;
  • authenticate users and manage access;
  • verify license and subscription status;
  • connect to IBM Planning Analytics / TM1 environments;
  • enforce customer-configured roles, permissions, and access controls;
  • provide model documentation, lifecycle management, comparison, deployment, search, logging, monitoring, scripting, automation, AI-assisted, and related features;
  • retrieve, display, analyze, document, compare, deploy, search, or otherwise process IBM Planning Analytics / TM1 information at the direction of authorized users;
  • provide support and respond to inquiries;
  • troubleshoot errors and improve performance;
  • maintain security and prevent misuse;
  • monitor service availability and reliability;
  • communicate important service, security, legal, or policy updates;
  • comply with legal, regulatory, contractual, security, and audit obligations;
  • improve SPACE and related user-facing features.

We do not sell personal information or customer data.

5. Customer Data and IBM Planning Analytics / TM1 Data

SPACE processes customer data as directed by the customer or authorized users.

Depending on customer configuration and enabled features, SPACE may store certain IBM Planning Analytics / TM1 metadata, logs, documentation, scripts, files, configuration information, or other customer-authorized information in SPACE databases or customer-controlled infrastructure.

SPACE does not sell IBM Planning Analytics / TM1 data.

Customers are responsible for configuring SPACE appropriately, managing user permissions, determining which IBM Planning Analytics / TM1 environments and objects are made available to SPACE, and ensuring that use of SPACE complies with their internal policies, legal obligations, and contractual requirements.

6. Browser Extension and Cookies

SPACE may operate through a browser extension, web application, server components, or a combination of these.

SPACE may use cookies, local storage, browser storage, tokens, or similar technologies to support authentication, session management, user preferences, security, and application functionality.

By using SPACE, you acknowledge that such technologies may be used as needed to provide the service.

Your browser, IBM Planning Analytics Workspace, IBM Cloud, and other third-party services may also use cookies or similar technologies. Their use of such technologies is subject to their own terms and privacy practices.

7. How We Share Information

We do not sell personal information or customer data.

We may disclose information in the following limited circumstances:

7.1 Service Providers

We may share information with trusted service providers and subprocessors who help us operate, secure, support, or improve SPACE. These may include hosting providers, cloud infrastructure providers, help desk systems, monitoring tools, security providers, professional advisors, and AI service providers where AI-assisted features are used.

Such service providers are authorized to process information only as needed to provide services to us or as otherwise permitted by applicable agreements and law.

7.2 Customer-Directed Processing

SPACE processes information at the direction of the customer or authorized users, including when users connect to IBM Planning Analytics, generate documentation, compare or deploy model objects, review logs, run scripts, configure automations, or use optional AI-assisted features.

We may disclose information where we reasonably believe it is necessary to:

  • comply with applicable law, regulation, legal process, or governmental request;
  • enforce our agreements or policies;
  • protect the rights, property, or safety of Succeedium, our customers, users, or others;
  • detect, prevent, or investigate fraud, security incidents, abuse, or technical issues;
  • comply with audit, security, or compliance obligations.

7.4 Business Transactions

If Succeedium is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality and legal protections.

8. Data Retention

We retain personal information and customer-related information only for as long as reasonably necessary to provide SPACE, support customers, comply with legal and contractual obligations, resolve disputes, enforce agreements, maintain security, and meet audit or compliance requirements.

Retention periods may vary depending on the type of information, the purpose for which it is used, customer configuration, applicable agreements, and legal requirements.

For certain SPACE features, customers may configure retention settings, including retention periods for logs, AI interaction history, generated documentation, or other stored content, where such controls are supported.

Customers may request deletion of certain information by contacting us, subject to applicable legal, contractual, security, audit, and backup retention requirements.

9. Security

We implement administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction.

These safeguards may include access controls, encryption, secure development practices, monitoring, logging, vulnerability management, penetration testing, audit processes, and other security measures appropriate to the nature of the information and the service.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect information using commercially reasonable safeguards.

10. Customer Responsibilities

Customers and users are responsible for:

  • ensuring they have authority to use SPACE with their IBM Planning Analytics / TM1 environments;
  • managing IBM Planning Analytics users, roles, groups, permissions, and access controls;
  • managing SPACE users, roles, permissions, connections, and feature access;
  • determining which users are authorized to install, access, administer, or use SPACE;
  • determining which IBM Planning Analytics / TM1 environments, models, logs, scripts, files, and other information are made available to SPACE;
  • ensuring users do not submit sensitive, confidential, regulated, or personal information to SPACE, support channels, or AI-assisted features unless authorized by the customer;
  • reviewing AI-generated outputs before relying on them;
  • reviewing scripts, automations, lifecycle actions, deployments, model changes, documentation, log analysis, and other outputs or actions before relying on them;
  • complying with applicable laws, internal policies, and contractual obligations.

11. International Processing

Succeedium is based in Canada. Information may be processed in Canada, the United States, Australia, the European Economic Area, the United Kingdom, or other jurisdictions where Succeedium, its service providers, subprocessors, or customer-configured providers operate.

The privacy and data protection laws of these jurisdictions may differ from those in your location. Where required, we use appropriate contractual, organizational, and technical measures designed to protect information transferred across jurisdictions.

12. Your Choices and Rights

Depending on your location and applicable law, you may have rights to access, correct, delete, or restrict the use of your personal information.

If you are using SPACE through your organization, requests relating to your organization’s data may need to be directed to your organization as the customer and administrator of the relevant IBM Planning Analytics, SPACE, cloud, or customer-controlled environment.

13. Children’s Privacy

SPACE is intended for business and professional use. It is not directed to children, and we do not knowingly collect personal information from children.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to SPACE, legal requirements, security practices, or business operations.

When we make changes, we will update the “Last updated” date at the top of this page.

If we make material changes to how we collect, use, disclose, or retain personal information, we will provide notice by reasonable means, which may include posting a notice on our website, providing notice through the Service, sending notice to account administrators or billing contacts, or including the change in release notes or other customer communications.

Where required by applicable law or customer agreement, we will seek additional consent before using personal information for a new purpose that is materially different from the purposes previously disclosed.

Your continued use of SPACE after the effective date of an updated Privacy Policy constitutes acceptance of the updated Privacy Policy, to the extent permitted by applicable law.
